**** Prioritising our day to day work or tasks - Few of my experience *****

One of the most common tasks which every other individual has is " Prioritising our day to day work" either at Work place or at home . We try to remember so many things due to which we also tend to forget few tiny details in the rush , which will end up in stress or losing our Temper. Why to get into such pace of life and lose the wonderful livey Living. Instead we can easily " Prioritising our day to day work or tasks " so that we will have a peaceful day on the whole :)

I learnt this in real hard way. However now it is really a cool stuff , that I handle things or work in a organized manner, such that never lose myself or my temper for just " Work " or "Interruptions ". All you need is to find a good balance between "work" and "Life", or you just need to a better technique when it comes to organising your to-do-list or "prioritising work" . Lets Begin

1. Goals :

First and foremost is that you really need to know or figure out what actually needs "to be done". You make sure that you always "Set achievable goals" . Start preparing a "To-Do list " with all the pending work or tasks , in your day to day Projects, Assignments or Tasks. Make sure , that these list contains tasks which are realistic with what you’re hoping to achieve, and make sure your responsibilities are consolidated into small, reachable goals. Put all that needs to be done , instead of thinking the priority of them. Now we should get a clear picture that what are the tasks Pending . Also make sure that you do this list for a week's time. If the list is beyond that, those are not really gonna help you. may be you can have it in some other sheet for planning later stages ; however not this time.

" Wow, cool all my tasks are listed " . Now it's time to feel good about yourself  that you have really noted down all the things to be done. Give a "Pat on the Back" or a "Thumbs Up" to yourself 😇😇😇 because from "No where" , we have reached "Now Here"

2. Organising :

Once all the tasks are noted down, it's time to "Organize" them. Also make a note of the tasks, which you need someone else's help or input . Plan for their inputs or tasks. However have those details included into your list as well. On top of all this organizing, there will always be some changes in the list due to Clients / Customers / Stakeholders needs. Also keep some buffer for those such that you don't mess up the list.

" Like you would have planned 2 out of 8 hours work for Requirement or test Coverage analysis. However , suddenly an High priority incident comes into the Queue and you have to fix it." So instead of planning complete 2 hours for Requirement , plan for 1 hour and have a quick incident check , then again start with Requirement coverage. "

Microsoft Outlook is one of the cool tools, for handling these kinds of tasks or work. When there are endless messages or mails are becoming a distraction, try adding separate folders for each project, or colour code them according to the project or assignment or Priority. In this due course of work , you’ll find it easier to focus on one thing at once, and you’ll be able to easily search for information whenever you need it.

3. The Needy :

How much ever we plan few small things comes up in between, which will later be a larger distraction. When you are really work hard to complete you weekly report or daily Project reports , there will be a friend who requires your help to solve his or her issue urgently. When you are working on the Strategy Document, there will be a mail from Project manager regarding your leave plans , so  now you have to go to that person for answering questions around the office, many seemingly small things could end up draining your time and energy more than they should. Now this will be really stuff, since you might really not know when such things comes up.

In such cases, we can create some templates or presentations or sessions, so that we can share it to the friend and ask them to go through in order to resolve their issues. We can also track the leave or vacation plans , starting of the month and save it in our local drive, which we can share it to anyone when it comes to Plan tasks for projects. Also , for some repetitive tasks, we can automate them or create templates or few streamlined measures.
 
4.  Welcome the Change :

How much ever you plan, always have a room for Change. Change is the only Constant Thing. Remember the To-Do list is always an ongoing document or it's always a never finished Document.
When you have planned the whole day work, suddenly something comes up like Team Lunch or Dinner , which you can't deny. Cool, never drop all your plans immediately or say No to Lunch or Dinner. Take the time to really know which tasks are Urgent or high Priority and reshuffle or accept the new change , in order to maintain the balance in the team or work areas.

Major point here is understanding that we stay on track and make sure the planned tasks are on track. Always remember that you alone can't handle or make the Project or task win over. Keep the team going and help the team understand the urgency of few tasks in order to enjoy the later part 😇😇😇😇

  1. Rightly said G3. If you goto sleep without planning for next day , you will end up getting distracted by everything. Of course we can't complete whatever we planned but atleast we had a method to go with and can analyze what went wrong and right later .
